No item limits

You can create unlimited files in your "My Files" section. In addition to this, you can also collaborate with others on three shared boards and unlimited docs.

Access to unlimited personal files

Starter plan allows you to create unlimited files in your “My Files” section. You can also share your personal creations with other members of your workspace or outside your workspace with view-only access. To allow others to edit and comment on a file in your “My Files” section, you can move it to your “Teams” section.

Collaborate on 3 team boards

Team members can experience collaboration features on up to 3 shared boards in their workspace. People can comment, as well as edit boards together.

We’ll never remove, delete or change the content you've created in Whimsical, and your boards will always remain intact.

Create and collaborate on as many docs as you wish

Yes, you read that correctly. You can create as many docs in your Whimsical workspace as you like! This includes docs under your personal “My Files” section, as well as in your shared “Teams” section for your whole workspace to collaborate on together.

Docs are a great way to bring a single source of truth together for your team, whether it’s company information for a wiki, or project specs - get everyone on the same page! Check out our doc templates for more inspiration.

Workspace member role restrictions

On our Starter plan, both the editor and viewer roles are available for workspace members, and all workspace members have admin permissions. Guest access is limited to view-only, with no editing or commenting permissions.

Limited sharing options

It’s not possible to disable public file access or create password-protected files. All members of your workspace will be able to share files publicly and a password will not be required to access them. This also applies to Whimsical files that are embedded externally.

Collaborative features

To optimize the Starter plan for individual use, some collaborative features are not available on the Starter plan, including timer and voting. For a full comparison of changes between the Starter and Pro plans, check the plan comparison below.

Glossary of terms

Teams is a section in your workspace where you can collaborate with other members of the workspace. You can create and collaborate on 3 shared boards in your Teams section.

My Files are files you own that are separate from any teams files. Like a sketchbook or notebook, “My Files” is a place where you can jot down your ideas and experiment with different concepts. On our Starter plan, you can invite members to view your personal files, but they won’t be able to edit or comment on them.

Boards are Whimsical files which offer infinite canvas where you can visualize your ideas, workflows, and processes using a range of tools, such as flowcharts, mind maps, and wireframes. On our Starter plan, you can create unlimited private boards in your “My Files” section and 3 collaborative files in your “Teams” section.

Docs are Whimsical files which offer collaborative text editing and let you to create, edit and share customized documents, such as wikis, meeting notes, project plans or product specifications.

Editors are members of the workspace who can view, comment and edit files.

Viewers are members of the workspace who can view and comment on files. Viewers cannot create new files or edit existing files.

Guests are Whimsical users outside your workspace that you invite to specific files or folders in your workspace. On our Starter plan, you can invite up to 5 guests per file or folder with view or comment access.

Admins are workspace members with full access to workspace-level management. This includes the ability to upgrade the workspace and manage its subscription, add or remove workspace members, adjust user roles, rename or delete the workspace, and perform other admin tasks. On our Starter plan, all members are admins.

FAQs

Why can’t I edit a board?

If you're unable to edit a board, it's possible that it's located in the "Teams" section of your workspace, which has a limit of three editable boards. This means that if you already have three collaborative boards in the “Teams” section, any additional boards will be view-only by default. Only the last three created boards can be edited.

The limit only applies to the “Teams” section of your workspace and you can create unlimited boards in “My Files”.

It’s also possible that somebody has shared a personal board with you. Other people's personal boards that are located in their “My Files” section can only be viewed.

To edit view-only boards, you can:

Move them into your “My Files” section so only you can edit them.
Make room for 3 editable boards in the “Teams” section so you can collaborate on them with other workspace members.
Upgrade to our Pro plan so you and your teammates can create and collaborate on unlimited number of boards.

How do I move boards?

You can move boards between your "Teams" section and "My Files" section by selecting the boards you want to move and then either dragging and dropping them into the desired location or using the Move menu option.

How do I make view-only boards editable?

To change the 3 collaborative boards, you’ll need to move all the “Teams” boards into your “My Files” section, until the 3 boards remain that you wish to collaborate on with your team.

Once you've moved enough boards to make room for your new collaborative boards, you can then create new boards in the "Teams" section or move existing boards back from your "My Files" section.

Just keep in mind that the "Teams" section has a limit of three editable boards, so you'll need to be mindful of the number of boards you're creating or moving.

What is the "Teams" section?

How do I get rid of the watermark on my exports?

You can remove the watermark and background by upgrading to our Pro plan. This will also allow you to export a 2x resolution image.

How do I control admin rights?

On the Starter plan, every editor has admin rights. Our Pro plan gives you more control over the admin permissions and you can choose which workspace members are admins.

How can I restore a previous version of my file?

The Starter plan has 7 days of version history with Time Machine. This guide explains how to use the Time Machine. Unlimited revision history is available on our Pro plan.

How can I search across all my files?

On the Starter plan, you are limited to searching in the file you are in, while our Pro plan allows you to search individual items, files or folders throughout your entire workspace.
